Talent Acquisition Coordinator - Provider Recruitment

Perform duties as assigned by Director of Talent Acquisition or their designee, providing coordination and administrative/operational oversight to the Physician Recruiting team. Responsible for the coordination of provider recruitment activities. Builds and maintains working relationships with team members, vendors, internal departments, providers and leadership. Identifies improvement opportunities, enhancements and redesign in order to accomplish greater efficiencies.
- Perform duties as assigned by Director of Talent Acquisition or their designee, providing coordination and administrative oversight:
- Manages special operational projects, as assigned. Provide proactive and ongoing communications to stakeholders regarding projects, initiatives, deliverables and progress.
- Responsible for operational data management and reporting as assigned/required.
- Maintains collaborative internal relationships with the operations team, Provider Services, the physician recruiters and management team to assure proper, timely and effective support of operational goals.
- Establish calendars, set meetings, develop agendas & itineraries, responsible for maintaining meeting minutes.
- Responsible for the coordination of provider recruitment activities to include:
- Provide regular backup coverage for physician recruiter.
- Facilitate physician and advanced practice provider candidates throughout the recruitment process, with required follow up with key stakeholders.
- Hire new candidates into Workday, initiate credentialing and enrollment.
- Assist in the management of resources, assess program effectiveness and perform ongoing process improvement.
- Performs record keeping and develops reports for leadership. Monitor and develop reports on recruitment progress.
- Coordinate conferences or other events as requested.
- Coordinate meetings and agendas with senior leadership team.
- Maintain the provider recruitment database and directory to assure up-to-date and accurate information is available to support the provider recruitment process.
- Responsible for deployment of ongoing update/maintenance of operational and provider recruitment tools, to include data bases, to assure timely task completion, making edits and updates as needed based on changing operational and provider recruitment objectives. Coordinates orientation and onboarding for all new providers. Ensures all applications for licensing and credentialing are completed and submitted by the new provider. Responsible for tracking status of new provider’s application and working collaboratively with Medical Staff Services and new providers to obtain all required information necessary to complete provider’s file. Communicates with new providers, practice manager, directors and internal departments regarding any anticipated delays in new providers start date.
- Assists new physician and their families with relocation/community transition providing realtor contact information, moving vendor contact information, providing a welcome gift for new families along with appropriate community information and contacts. Tracks relocation expenses for new providers. Acts as the liaison between the provider/family and both internal and external departments/vendors. Provides guidance and concierge services to the provider/family as they transition to the community
- Interfaces with Operations and Provider Physician Recruiter, assists as needed to support all identified activities and projects.
- Oversee communications, collateral and materials regarding physician recruitment (expenses, offers/contracts, etc.)
- Provides additional project support to operations, Talent Acquisition and provider recruitment, as assigned.
- Responsible for ordering and maintaining all marketing material for interviews, giveaways and conferences.
- Manage assigned tasks and projects and follow through on deliverables, setting/meeting deadlines.
- Collaborate and communicate effectively with others within organization to accomplish goals.
- Represent Elliot Health System and its subsidiaries to potential new providers, functions as a key contact.
- Stays abreast of recruitment goals/objectives and process, in conjunction with provider recruitment.
Work Schedule: Monday-Friday, 8-5
