About the Job:

To provide support in the day-to-day office operations of the C-suite and/or Senior Executives, serving as an extension of the Executive(s) in dealing with community leaders, the community at large, the Board of Trustees/ Directors, Medical Staff and all staff within the Elliot Health System.

What You’ll Do:

  • Manages and oversees the C-suite executive offices including that of the Chief Financial Officer and Chief Legal Officer. Anticipates and addresses the immediate needs of the executives.
  • Serves as the liaison to the Chief Operating Officer and other executives with key internal and external constituents.
  • Ensures and maintains a high level of communication and coordination between and among SolutioNHealth and Hospital System Leadership, to ensure continuity of functions and follow-up for the Chief Operating Officer and Executive Management, and to support operations and the achievement of system goals and action plans, consistent with direction from the President, Board of Trustees and the System Strategic Plan.
  • Prepares and facilitates communication to and from the executive office. Screens, determines and follows-up on the appropriate disposition of communications. Consults with and informs appropriate persons of situations requiring attention while exercising sound judgment with a high level of confidentiality and sensitivity. Maintains the Executive(s) files.
  • Manages, tracks, monitors and follows the progress of projects, action items, strategies that emanate from the executive's office, committees, etc.
  • Manages all calendar coordination and scheduling for the Chief Operating Officer and other executives, assuring accuracy and timely input, as well as the preparation and availability of meeting materials.
  • Manages on-boarding for new C-suite and/or Senior Executive(s) joining SolutioNHealth.
  • Creates presentations, spreadsheets and documents for the executive on an array of topics.
  • Coordinates regular and special meetings of various organizational entities' governing bodies (i.e., Board of Trustees, Subsidiary Boards and Committees, Management) to include attending and scheduling the meetings, coordinating, preparing and distributing agendas, Board packets, resolutions, presentations and meeting minutes. Directs and implements follow-up actions resulting from Board decisions and ensures compliance with meeting and record keeping requirements in conjunction with the System General Counsel.
  • Understands organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
  • Performs routine typing and confidential assignments as required.
  • Provides guidance and support to the Executive Assistants and Administrative Assistants.
  • Responds to all patient complaints, concerns and inquiries and ensures follow-up by the Patient Liaison or other personnel as appropriate.
  • Approves and processes all weekly departmental payroll through Kronos.
  • Develops and collaborates in the creation of the annual non-salary expense fiscal year departmental budgets.
  • Approves and reviews expenses within the department; coordinates the timely processing of vendor invoices and check requisitions.
  • Manages special events and projects such as the Board of Trustees Annual Meeting Dinner, Board of Trustees Strategic Planning Retreats, Board, Committee and employee functions. Initiates and completes all required contracts needed for special events.
  • Maintains and ensures licenses for the State of New Hampshire as well as other accrediting agencies are up to date.
  • Ensures confidentiality of employee, legal, client/patient, budget and all company matters.
  • Manages the executive corporate credit card account as Program Administrator allowing me to open and cancel corporate credit cards as needed. Reviews and processes the monthly expenses for executives. Disputes charges when necessary.

Who You Are:

  • Bachelor's degree or equivalent experience required.
  • At least five (5) years in a corporate, multi-divisional organization
  • Proficient in Microsoft Office products
